You might be wondering how Playbooks step number value is updated in Salesforce because it might be not updated in the way that you are expecting it to.
Information
The Playbooks Play step field will only be changed if it is specifically edited. As a lead progresses through a play, along with adding the step number to the task when it is created, Playbooks will also update the field on the lead. Manually creating a task in Salesforce won't affect the step number field unless the rep has access to it and manually changes that field on the lead itself. Key step number value calcualtion characteristics:
- Field on a lead itself will show the current step in the play they are enrolled in.
- The field on the lead will not be switched to 0 if the last activity was ad-hoc. But, if you have that field also on task then the tasks will be populated with 0 if it was ad-hoc and the step number if it was in a play.
- Record hasn't been added to Playbooks yet - Play status = Empty - Step number = Empty (unless your company has it configured not to allow empty and to default to 0, in that case, it would be 0).
- Record has been added to Playbooks and is in a play - Play status = Populated - Step number = Populated (1 or more).
- Record is still in Playbooks but has been removed from play - Play status = Unenrolled - Step number = 0.
- Record has been removed from Playbooks - Play status = Unenrolled - Step number = 0
